Notifications in Onvio

Certain actions or events trigger specific notifications in Onvio.

Account

Account locked

  • Trigger: 10 consecutive failed login attempts.
  • Recipient: user whose account is locked.
  • Type: email, within Onvio, and mobile push

Login updated

  • Trigger: user updates their login information in the View Profile > Account tab.
  • Recipient: the user who updated their account.
  • Type: email, within Onvio, and mobile push

Multi-factor authentication updated

  • Trigger: user changes their multi-factor authentication settings in the View Profile > Multi-factor Authentication tab.
  • Recipient: the user who updated their settings.
  • Type: email, within Onvio, and mobile push

Billing

Invoice

  • Trigger: a staff member sends an invoice from Time & Billing > Billing > Review Invoices tab.
  • Recipient: client's billing contact, if existing; otherwise the client.
  • Type: email and mobile push

Statement

  • Trigger: a staff member sends a statement from Time & Billing > Billing > Statements tab.
  • Recipient: client's billing contact, if existing; otherwise the client.
  • Type: email and mobile push

Client Tax Centre

Client document

  • Trigger: a staff member sends a tax return to a client's Tax Centre.
  • Recipient: contact with access to the Tax Centre where the return was sent.
  • Type: email

Tax questionnaire

  • Trigger: sent when the tax questionnaire is delivered to Tax Centre.
  • Recipient: contact with access to the Tax Centre where the questionnaire was sent.
  • Type: email and mobile push

Tax document approval

  • Trigger: sent when the tax document is sent for approval.
  • Recipient: contact with access to the Tax Centre where the document was sent.
  • Type: email

Documents

Client adds files

  • Trigger: client adds files to a shared folder in Onvio Client Centre.
  • Recipient: Partner, Manager and/or Associate assigned to the client. If there is no Partner, Manager, or Associate assigned, the Onvio Firm Admin receives the notification.
  • Type: email, within Onvio, and mobile push

Client sends document links

  • Trigger: client emails links to files stored in the Documents tab.
  • Recipient: user receiving the link. The email address comes from Client Centre > Documents > My Documents > Manage > Send > Send To field.
  • Type: email

Recipient submits response to approval

  • Trigger: user approves or rejects a file via an approval request. Staff can request approvals in the Communications tab.
  • Recipient: staff member who created the approval request.
  • Type: email, within Onvio, and mobile push

Recipient submits response to request

  • Trigger: user uploads a file in response to a document request.
  • Recipient: staff member who added the request.
  • Type: email, within Onvio, and mobile push

Staff adds approval

  • Trigger: staff member adds a new document approval in the Communications tab. Staff can choose Resend Email on an existing approval request to send the notification again.
  • Recipient: user receiving the request. The email address comes from the Recipients field in the Add Approval Request screen.
  • Type: email and mobile push

Staff adds files

  • Trigger: staff member adds files to a shared folder.
  • Recipient: contacts with access to the shared folder.
  • Type: email and within Onvio

Staff adds request

  • Trigger: staff member adds a new document request in the Communications tab. Staff can choose Resend Email on an existing approval request to send the notification again.
  • Recipient: user receiving the request. The email address comes from the Recipients field in the Add Document Request screen.
  • Type: email

Staff sends document links

  • Trigger: staff member emails links to files stored in the Documents tab.
  • Recipient: user receiving the link. The email address comes from the Recipients field in the Send Document screen.
  • Type: email

User activation

Client Centre registration

  • Trigger: client who was granted Client Centre access.
  • Recipient: staff member enables Client Centre access for a client in Setup > Clients > Edit > Client Centre Access tab.
  • Type: email

Staff registration

  • Trigger: staff member enables Onvio Access for a staff member in Setup > Staff > Edit > Onvio Access tab.
  • Recipient: staff who was granted Onvio Access.
  • Type: email
