Send file links via email
You can send links to files that are stored in the Documents area to anyone, even if they don't have access to Onvio. The email message includes a link that the recipient can click to preview the file (if supported) and download it.
We recommend that you do not send links to files containing sensitive data unless the security option is enabled. If security is not enabled, documents can be accessed without a password to log into Onvio. When security is enabled, a password is required to download a document from Onvio.
Send a document link
- In Documents, select Communications.
- Select Add, then select Send Document.
- Choose a client.
- Choose an existing contact or enter an email address.
- You can tick Require the recipient to enter a unique password to view the request. This requires the recipient to enter a password to view the document.
Note: We recommend that you verbally notify the recipient of the password.
- Enter the appropriate information in the Message Subject field and message pane.
Do not modify the variable text, denoted within square brackets, for the Sender names and Expiration Period or the information may not appear correctly in the file link message.
- Select Send to send the email link.
Note: If the recipient cannot preview a file, they have the option to download it.
Resend a document link
- In Documents, select Communications.
- Choose the communication and select Edit.
- Select Resend Email.
- Select Send.
Revoke access
- In Documents, select Communications.
- Choose the communication and select Delete.
- Select Delete again to confirm.
Note: If you click a link that has been revoked, Link is invalid or has expired will display.
