Detail billing

Detail billing provides options to bill at any level of detail that you need.

  • Partial bill: carry over some work-in-process (WIP) to the next billing
  • Quick bill: bill selected items at a given amount
  • Progress bill: produce a bill without relieving any WIP
  • Adjustment entry: create a billing adjustment without entering time or expenses
  • Select and bill individual line items
  • Clear nonbillable WIP

Select items for billing

  1. Choose Time & Billing > Billing.
  2. On the Billing Selection screen, the Invoice Date and WIP Through Date fields default to the current date. Change one or both of these dates if necessary.
  3. To change the way the information on this screen is grouped, make a selection in the Bill By field.
  4. Tick the box next to each client that you want to bill.
  5. Click Detail Bill in the toolbar.
    • The list of selected clients is available in a panel on the left side of the screen. Click the expand arrow Expand arrow to open this list. A Billed label displays next to a client's name after you bill them.
    • A list of prior invoices for the selected client is available in a panel on the right side of the screen. Click the expand arrow Expand arrow to open this list.

      Both of these panels will remember their last positions (open or closed) the next time you visit this screen.


Compose the invoice

  1. Select an invoice format and date. Click the Invoice Properties link to make additional changes.
  2. Click the Add To Invoice button to begin building your invoice.
  3. To bill an amount against the client's total accumulated WIP, leave Time and Expenses selected and click Next.

    Choose Flat Amount to add an adjustment entry or progress entry.

  4. Select items to include on the invoice and click Next.
  5. The full amount of the selected items is shown in the Bill field by default. Accept this number or change it as needed. You can also change the text in the description field. If you want to carry over a balance, add an amount in the Adjust field. Otherwise, unbilled amounts are zeroed out.
  6. Click Finish to view the composed invoice.
  7. Edit and reformat any text shown with a blue backbround. Click the Invoice Properties link if you want to make other invoice changes.
  8. To add additional time or expense items, adjustment entries, or progress entries to the invoice, click the Add To Invoice link. If Allow cosmetic changes to invoices is enabled, you can add additional detailed descriptions rows.

    You can also add adjustment and progress entries directly from the Billable Entries tab.

  9. Click the Preview tab to see a rendering of the invoice on screen.
  10. Click Save before navigating away from the Detail Billing screen. Saved invoices are available on the Review Invoices tab of the billing screen.
